What this tool does and who it is for

Fill in your business details, your client, dates and line items, and the page builds a printable invoice. You pick the currency, add a discount, and add as many tax lines as you need (for example state and city tax). Use your browser's print dialog to save it as a PDF. It suits freelancers and very small businesses sending a handful of invoices.

Each line is quantity times unit price. The discount comes off the subtotal first, then each tax line is applied to the discounted taxable amount. Tick the option to choose taxable lines one by one if only some of the items are taxable. Nothing is taxed until you add a tax line.

The form starts empty. A Load sample data button fills in clearly labeled example values so you can see the layout. You can optionally remember your entries on this device; otherwise nothing is stored.

Official Formula / Technical Standard

Conforms to standard US business record-keeping, invoicing, and quotation practices.

Real-World Worked Scenario

Fill in your company details, line items, and payment terms to generate professional documents ready for export.

When people use it

Billing a client for a project or hourly work

Add a line for each deliverable or block of hours. Put the PO number in the reference field if the client's accounts payable team requires one.

Mixed taxable and non-taxable items

Turn on per-line tax and untick labor if your state does not tax it, leaving taxable materials ticked. One invoice then shows the right tax.

Billing in another currency

Pick the currency from the list. The tool only changes the symbol and formatting. It does not convert amounts or look up exchange rates.

Adding terms and payment instructions

The notes box is the place for net-30 terms, ACH or check details and any late-fee wording you and the client have agreed on.

Notes for US users

  • A new client may ask for a Form W-9 before paying you. If a business client pays you $600 or more in a year, they may owe you a Form 1099. The invoice does not replace either form.
  • Sales tax in the US is set at the state and often local level, and whether services are taxable varies widely. Look up your state department of revenue before adding tax and use the rate that applies to the sale.
  • The Tax ID field is free text. Many freelancers prefer to hand over a W-9 rather than print a Social Security number on an invoice.

Limits and what to double-check

  • •There is no automatic invoice numbering, no saved client list, no recurring billing and no payment link. Keep your own log of numbers issued.
  • •Currency selection changes formatting only. There is no conversion.
  • •Tax rates are whatever you type. The tool does not know your state or local rates. Totals are rounded to cents per line and per tax; check them against your books.

Expert Best Practices & Common Pitfalls

Recommended Best Practices

  • •Always specify clear payment terms, due dates, and acceptable payment methods on invoices.
  • •Itemize deliverables with detailed descriptions to prevent client disputes.

Frequently Asked Questions

How does the Invoice Generator work?▼

The Invoice Generator runs 100% inside your web browser using modern client-side JavaScript. It performs calculations, conversions, and document processing locally on your device without sending any data to external servers.

Is this invoice generator completely free to use?▼

Yes. This tool is completely free with no usage limits, no subscriptions, and no registration required.

Is my data private when using the Invoice Generator?▼

Yes. Because all operations execute locally on your computer or phone, your inputs, documents, and data never leave your browser.

How do I save the invoice as a PDF?▼

Open the preview, click Print / Save PDF, and in your browser's print dialog choose Save as PDF as the destination. Set paper size to US Letter and turn off headers and footers if your browser adds them. Check the saved file before emailing it.

What should an invoice include in the US?▼

Commonly: your business name and contact details, the client's name, a unique invoice number, issue and due dates, itemized services with amounts, the total and payment instructions. Requirements vary by state and client. This is general information, not legal advice.

Do I charge sales tax on services?▼

It depends on the state and the type of service. Some states tax certain services, such as software or repair work, and many do not tax professional services. Check your state department of revenue or ask an accountant before adding a rate.

Can I add more than one tax?▼

Yes. Use Add tax line for each one, with its own name and rate. Each is calculated on the same discounted taxable amount, not compounded on top of the other.

Will my client data be saved if I reload?▼

Only if you tick the box to remember entries on this device. It then saves to your browser's storage and never uploads anywhere. The Clear button wipes the form and deletes the saved copy. Without the box ticked, a reload clears everything.
