2. Line items
No tax is added unless you add a line. Taxes are applied to the discounted taxable amount. Look up the rate for your state or locality yourself.
What this tool does and who it is for
Enter the seller, the buyer, date paid, payment method, an optional reference and a list of items with quantity and price, and the page prints a simple receipt with the total paid in the currency you pick. Add tax lines if tax applies. It suits a cash sale, a freelance payment or a small shop that needs a quick record to hand over.
The total is the sum of quantity times price for each line, less any discount, plus each tax line you add. Mark lines taxable or not if only some are. There is no tip field and no partial payment option; the receipt shows the full total as paid.
The form starts empty, with a Load sample data button for a labeled example. You can optionally remember entries on this device. Save as PDF through the browser's print dialog or print directly.
Official Formula / Technical Standard
Real-World Worked Scenario
Consulting Services ($1,200.00) + Equipment Reimbursement ($350.00) = Subtotal $1,550.00. Sales Tax (8.25% on tangible items = $28.88). Total Paid: $1,578.88 via Wire Transfer / Credit Card.
When people use it
Giving a customer proof of payment
After a cash or check payment, print a receipt with the date and a reference number so both sides have a record.
Documenting a freelance payment
When a client pays you outside of an invoicing system, a receipt confirms what the payment covered.
Small sellers at markets and events
A quick printed receipt works for craft fairs and pop-ups when a card reader's own receipt is not available.
Recording a private sale
For a used equipment sale between individuals, a receipt listing the item, date, price and both names creates a simple paper trail.
Notes for US users
- A receipt you generate yourself is a record of a transaction, not proof from a bank or processor. Keep your bank or payment-app records alongside it.
- Businesses should keep receipts and records in line with IRS guidance. How long depends on your situation, so check the IRS recordkeeping pages or ask a tax professional.
- Charities giving donation acknowledgments must follow specific IRS rules about wording. This tool is not built for that.
Limits and what to double-check
- •No tip field, no balance due and no installments. The receipt shows the full total as paid, so it is not appropriate for deposits.
- •Tax rates are whatever you type; the tool does not know your local rates.
- •Receipts here are easy to edit and are not verified documents. Do not use it to create records for transactions that did not happen.
Expert Best Practices & Common Pitfalls
Recommended Best Practices
- •Include a unique sequential receipt number and payment transaction reference ID for reconciliation.
- •Clearly indicate payment method (Credit Card, ACH, Cash, PayPal) along with merchant contact details.
- •Keep organized digital records of all issued receipts for end-of-year tax accounting and expense write-offs.
Common Mistakes to Avoid
- •Omitting seller tax identification numbers or business address on taxable transaction receipts.
- •Failing to clearly state the payment date and specific transaction confirmation code.
- •Neglecting to separate taxable goods from non-taxable professional service line items.

Frequently Asked Questions
How does the Receipt Generator work?▼
The Receipt Generator processes all calculations and document layouts entirely in your browser. Enter the transaction details and line items to produce an instant, certified payment receipt.
Is this receipt generator completely free?▼
Yes. It is 100% free with no subscription, no watermark, and no registration required.
Can I save the receipt as a PDF?▼
Yes. Use the Print Receipt button to save directly as a clean PDF or print a hard copy on your printer.
Does the receipt calculate sales tax?▼
It calculates whatever tax lines you add, using the rate you type, on the discounted taxable amount. Nothing is taxed by default. Look up your state's rules for what is taxable.
What should a basic receipt show?▼
Seller name and address, date, a receipt or transaction number, what was bought and the amounts, the total and how it was paid. This tool has fields for all of those.
Should I write the full card number on a receipt?▼
No. If you mention a card, show only the type and last four digits, such as Visa ending in 4092. Never record a full card number, expiration date or security code.
Can I use a receipt as an invoice?▼
They serve different purposes. An invoice requests payment, while a receipt confirms payment received. If you have not been paid yet, use the invoice generator and issue a receipt after the money arrives.
How do I get a PDF copy?▼
Open the preview, choose Print / Save PDF, and pick Save as PDF as the destination in your browser. Use US Letter paper size if you plan to print it later.
